Leadership Support Specialist - East Tennessee Economic Council

Work Schedule: Monday – Thursday 8:00 a.m. – 5: p.m., Friday 6:00 a.m. – 2 p.m.

Full-Time

Work Site: 100% on-site in Oak Ridge, TN

Travel Requirement: None

Salary Range: $22-$26/hr.

Oak Ridge Associated Universities (ORAU) is seeking a Leadership Support Specialist for employment at The East Tennessee Economic Council. This is a full-time, permanent position with ETEC.

As a result of our growing scope of work, we would like to add a Leadership Support Specialist to our team.

Objectives of this role:

  • Support the President and provide additional support to all team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Manage communication with members. Enable the team through administrative, events, communication, and membership support so that ETEC can grow and expand into new opportunities and objectives.
  • Plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are upheld.

Responsibilities:

Administrative Support

  • Scheduling meetings for the President and staff, taking meeting notes, copying and distributing agendas, assisting with President's emails, scheduling key gatherings, committees, and sending reminders for committee meetings.
  • Event support- (large and small events) Securing catering, venue coordination, hotel blocks, helping with décor, setting up rooms for meetings.
  • Manage and prioritize incoming communications and requests, exercising discretion in determining the appropriate course of action.

Marketing and Communications Support

  • Updating event webpages, ordering printed materials and banners, creating emails for event marketing under the direction of the VP, and assisting with editing and posting video recordings of Friday meetings.
  • Assembling weekly e-newsletters
  • Analyze communication metrics (e.g., email open rates, website traffic).

Membership Support

  • This role involves managing membership processes and outreach efforts to support retention and engagement and revenue.

Operations Support

  • Maintaining inventory, purchasing supplies, and running errands as required.
  • Manage the meeting space, including but not limited to reservation calendar, tours of the space, demonstrate the A/V system, entrance and exit procedures.
  • Coordinate A/V and maintenance support as needed for the organization.

Required Qualifications:

  • High School Education + 5 years of experience
  • Excellent written and verbal communication skills.
  • Strong time management skills and the ability to organize and coordinate multiple concurrent projects.
  • Proficiency with Gsuite, Microsoft Office suite (Outlook, Word, Excel, Powerpoint, Teams), Zoom and an aptitude for learning new software and systems.
  • Versatile and collaborative team members with a proven ability to adapt to evolving circumstances and confidently tackle challenges with a solutions-oriented approach.
  • Demonstrated ability to uphold strict confidentiality regarding sensitive company and employee information

Preferred Qualifications:

  • Experience in nonprofit management or economic development organizations.
  • Knowledge and experience in CRM systems.
  • Knowledge of Oak Ridge federal missions and industries that ETEC represents
