Job Description

A premier luxury real estate brokerage firm built on exceptional service is seeking an experienced, highly organized, and forward-thinking Director of Operations to oversee and elevate the operational heartbeat of our fast-paced, high-performing team in Lake Zurich. The Director of Operations will serve as the strategic and tactical leader overseeing the daily operations of the brokerage, ensuring seamless execution of processes, exceptional client service, and continued growth of the business. This role requires a blend of business acumen, leadership skills, operational expertise, and a deep appreciation for the luxury real estate market. With a salary of $60,000 to $90,000 this role also includes benefits such as Life Insurance and PTO.

Key Responsibilities of the Director of Operations role:

  • Operational Leadership – Oversee the firm’s daily operations, ensuring efficiency, compliance, and best-in-class service delivery across all departments.
  • Team Management and Development – Lead, mentor, and motivate administrative, marketing, and transaction support staff to ensure operational excellence and alignment with company goals.
  • Process Optimization – Implement and refine systems for client onboarding, listing management, transaction coordination, and post-sale follow-up to maximize productivity and client satisfaction.
  • Financial Oversight – Manage budgets, track expenses, and provide accurate reporting on operational metrics; support revenue growth through strategic resource allocation.
  • Marketing and Branding Support – Collaborate with the marketing team to maintain a consistent, elevated brand presence across all touchpoints, including listings, events, and client communications.
  • Technology and Tools Management – Evaluate, implement, and oversee CRM platforms, MLS tools, and digital solutions to enhance efficiency and client experience.
  • Compliance and Risk Management – Ensure adherence to real estate regulations, brokerage policies, and ethical standards; proactively address potential risks.
  • Strategic Planning – Partner with the Broker/Owner to develop and execute business plans, growth strategies, and performance benchmarks.
  • Client Experience Excellence – Uphold the highest standards of white-glove service throughout every stage of the buying and selling process.

Qualifications of the Director of Operations role:

  • 7+ years of operations leadership experience in real estate.
  • Strong leadership and people management skills with a track record of building high-performing teams.
  • In-depth knowledge of real estate operations, transaction processes, and compliance requirements (brokerage experience preferred).
  • Proficiency in CRM systems, MLS platforms, and real estate-specific software.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
  • Strong financial acumen and experience with budgeting and performance metrics.
  • Impeccable communication skills, both written and verbal.
