Job Description

Our client, a leading luxury fashion brand, is seeking a Part-Time Administrative Assistant to join their Boutique team in New York team on a contract basis!

Responsibilities:

  • Travel planning, team vacation logs, supply ordering, calendar management, office space moves, and logistical onboarding of new team members
  • Manage travel arrangements and create detailed travel itineraries, including follow-up during executive travel to ensure coordination and support at all points
  • Submit and reconciling department expense reports
  • Schedule meetings, both internal and external
  • Be proactive by getting ahead of last-minute changes
  • Manage Microsoft Teams communications channels
  • Draft and send communications as directed, securing confidentiality
  • Organize files and maintain an effective system of document management
  • Digitally file and organize project correspondence from team members
  • Write and coordinate timely business correspondence
  • Prepare detailed reports and presentations using PowerPoint and Excel
  • Coordinate mailing/shipping to support project correspondence
  • Order furniture and accessories and track shipments for store openings

Qualifications:

  • 1+ years of relevant experience within fashion administration work
  • Experience with Microsoft Office, particularly Excel, Word and PowerPoint, as well as the Teams platform
  • Proactive with strong organizational skills
  • Excellent verbal and written communication
  • Team player: ability and desire to work with and in support of a large team
