Matern Staffing is hiring a Office Manager for a direct hire role at a busy 24/7 organization in Fredericksburg, VA. In this pivotal position, you’ll lead the front-line team that keeps the organization safe, organized, and welcoming for all who enter.

The Office Manager oversees staff scheduling, shift coverage, and daily coordination so operations run smoothly around the clock. You’ll manage the check-in/check-out process, maintain safety and security protocols, address personnel needs, and partner with volunteers and other departments to support clients and facility operations. This role is ideal for a strong communicator and problem-solver who thrives in a fast-paced, team-driven environment and finds meaning in helping others.

Salary:

$18–$20/hr

Schedule:

Monday–Friday, 9:00am–5:00pm (availability to support other shifts as needed)

What You’ll Do:

• Supervise, schedule, and coach Control Desk staff to maintain effective coverage and smooth daily operations and transitions between shifts
• Coordinate with staff across departments to ensure clients follow rules, policies, and safety procedures
• Oversee completion and timely submission of shift reports, incident documentation, and client intake records
• Monitor facility needs inclusive of housekeeping, report maintenance issues, and coordinate repairs with staff, volunteers, or contractors
• Manage visitor, volunteer, and donation processes, ensuring proper check-in, supervision, and documentation
• Maintain building security by monitoring cameras, logging entries/exits, and reporting safety concerns
• Track daily client census and maintain accurate data entry in designated systems
• Recommend improvements to policies, procedures, and facility operations

What You’ll Need:

• High school diploma or equivalent; prior experience in social services or similar setting preferred
• Demonstrated compassion and respect when working with individuals experiencing homelessness
• Strong commitment to confidentiality, ethics, and integrity
• Effective verbal and written communication skills
• Ability to remain calm, de-escalate situations, and respond assertively when needed
• Flexible and adaptable to changing priorities and situations
• Proven ability to work independently, collaboratively, and under direct supervision as needed
• Strong organizational and time management skills to maintain smooth operations
• Professional, approachable demeanor with positive relationships toward staff, clients, and the public
