Job Description

The Association for Uncrewed Vehicle Systems International (AUVSI), the world's largest nonprofit organization dedicated to the advancement of uncrewed systems and robotics, represents corporations and professionals from more than 60 countries involved in industry, government, and academia. AUVSI members work in the defense, civil and commercial markets. We pride ourselves on being the leading trade association serving a growing autonomous vehicle industry sector including drones, automated and remotely operated ground and maritime vehicles, and their related components and systems.

The Opportunity

The Association is seeking a proactive and highly organized individual to join our team as a Client Relationship Coordinator. In this role, they will support contract workflows, track deliverables, contribute to outbound marketing activities, and maintain critical sales and engagement data. This position plays a key role in creating a seamless experience for both internal stakeholders and external partners by coordinating contract processes, ensuring Salesforce data accuracy, assisting with marketing initiatives, and advancing member engagement efforts.

Essential Job Functions

Customer Sales Support

  • Draft proposals and contracts for Business Development team review.
  • Manage contract signature process; file finalized contracts on SharePoint.
  • Fulfill contract obligations by activating agreements and collecting deliverables.
  • Generate and send invoices for completed contracts.

Sales Support

  • Collect and file contracts for Industry Development activities.
  • Update internal trackers, including Media Kit and Events trackers.
  • Request invoices from Accounts Receivable for advertising and event-related items.
  • Collect and organize deliverables for Media Kit and Events.
  • Pull Salesforce pipeline reports to support sales activities.
  • Create and maintain Salesforce campaigns and dashboards.
  • Lead Salesforce cleanup projects, including duplicate removal, old record cleanup, and data updates.
  • Update Industry Development/Membership standard operating procedures.
  • Pull, format, distribute, and save outbound marketing click reports.

Partnership Support

  • Collect and file contracts related to partnerships.
  • Collect deliverables tied to partnership agreements.

Membership/Engagement Support

  • Update trackers for Membership, Partnerships, and Engagement activities.
  • Schedule engagement calls and pull engagement reports.
  • Collect deliverables related to Engagement programs.
  • Support the "New Member Monday" initiative.
  • Manage the membership@ inbox, including complex task ownership and handling escalated membership issues.

Qualifications

  • Bachelor’s degree in business administration, communications, marketing or other related degree.
  • 2–3 years of professional office experience or an equivalent combination of education and experience. Prior experience in an association environment is a plus.
  • Highly detail-oriented with strong organizational skills and the ability to manage multiple priorities effectively.
  • Motivated self-starter with excellent problem-solving abilities and an independent, solutions-focused mindset.
  • Comfortable following direction while also identifying opportunities for process improvements.
  • Strong technology skills, with proficiency in Microsoft Office Suite, especially excel; experience with Salesforce or similar CRM systems is a plus.
  • Excellent written and verbal communication skills with a collaborative, team-oriented approach.
  • Ability to maintain data quality, support marketing initiatives, and drive engagement efforts with internal and external stakeholders.
  • Must be able to communicate clearly and effectively via phone, video conference, and/or in-person meetings.

Working Environment

  • Arlington, VA - Hybrid
  • Willing to travel up to 5% of the time.
